CLIENT AGREEMENT PROCEDURE

Effective date: 24 April 2015

PURPOSE AND INTRODUCTION

The purpose of this procedure is to define the requirements to secure a client contract for migration services.

Contracts are available in both English and Chinese. The English language version must always be used, and the Chinese language version is optional (where the client wants to know the requirements in Chinese). If there is a discrepancy in the interpretation of the requirements, the English language version shall prevail. This procedure is separated into three sections:

1. Preliminary Used to obtain initial prospective client information.

2. Assessment Used to assess prospective client information to determine if the person is a suitable migration visa

candidate.

3. Contract Used to provide the client agreement and other information to bind the client by contract for migration

services.

SCOPE

This procedure applies to clients that seek migration services. Two contract template documents are used: Type 1 is used for all visa subclasses, except for subclass 020. Type 2 is used for visa subclass 020, and has a reduced scope of work. Services should not be conducted for clients without an agreement in place. Once a contract is executed, Other Services (for which an additional charge will apply) can be performed with additional agreement from the client. The agreement may be by email, as long as there is some documentation to support a future invoice and militate against future disagreement about the charge(s).

DEFINITIONS

Client – an individual that seeks to secure a visa to enter Australia.

Note: Clients include prospective clients.

PROCEDURE

Preliminary

1. Supply the Client Profile (P05-1) questionnaire to the prospective client for their completion.

2. Review the Client Profile (P05-1) questionnaire and interview the prospective client to determine the visa subclass

sought by the prospective client. Agreement

3. Make an initial assessment as to the probability of success and advise the prospective client about the requirements,

the suitability of the client for the chosen visa subclass, and the approximate cost. 4. Agree with the prospective client whether the application should proceed or not. Agreement

5. Search for an existing client record on the sharedrive. If no record exists, allocate the next Personal Reference

Number (PRN) from the Operations Master List and complete the client data.

6. Create a client folder in the Open clients subfolder on the sharedrive using the format:

-_ (eg 1001-01_Peter BEST). 7. Depending on the visa subclass sought, select Type 1 or Type 2 visa from the sharedrive Legal subfolder.

8. Depending on the language requirement of the prospective client, select English-only or English and Chinese

contracts.

9. Allocate the next available contract number from the Operations Master List and add the number to the front of the

Service Agreement.

10. Complete the date (where possible) and the client name and address details. 11. Update the Schedule on the last page of the Service Agreement. 12. Save the Service Agreement in the client folder using the format:

13. Print two copies of the Service Agreement.

14. Sign both copies of the Service Agreement and initial each page.

15. Prepare a Service Agreement letter, updating the yellow highlighted areas. Ensure the visa subclass is correctly

described (including the name of the person where the client is not the applicant). 16. Remove the yellow highlighting and print the letter.

Note: The letter is from Sinolink and does not need to be signed.

17. Save the Service Agreement letter in the client folder using the contract number format (eg 5-1008_Service

Agreement letter_(CN_EN). 18. Present the client with the following:

a. Two signed copies of the Service Agreement (one for each party). b. The Service Agreement letter. c. A copy of the Consumer Guide.
